GETTING STARTED
The basics of tracking time in Paidwell.
What is Paidwell?

Paidwell is a consulting time tracker for independent consultants. It is built around how consultants actually bill: per-project rates, client-call billing conventions (minimums, padding, rounding), clear billable/billed status, and clean client-ready reports.

How do I log my first time entry?

Press "n" anywhere, or click "Log time" in the header. Pick the project, enter the duration (e.g. "1h30", "90m", or "1.5"), add a short description, choose the date, and save. You will see a live "= Xh Ym" preview as you type so the parsed duration is never a surprise.

How do I create a project and set its rate?

Open the Projects section and add a project with a name, optional client, and an hourly rate (this becomes the project's "Standard" rate). You can also set call-billing rules here. On the Free plan you can have up to 2 active projects; archived projects do not count.

What is the difference between a client and a project?

A project is the unit you log time against and which carries the rate and call-billing rules. The client is a label on the project, so you can group several projects under the same client and keep their reporting organised.

Are there keyboard shortcuts?

Yes. Press "n" to open the Log time dialog and "/" to focus search. Shortcuts are ignored while you are typing in a field.

Can I use Paidwell on my phone?

Paidwell works on mobile browsers — logging time and reviewing activity are fully usable. The interface is optimised for desktop/laptop, where the locked sidebar and wider tables shine, but nothing is desktop-only.

PLANS & BILLING
Free vs Pro, the trial, and the founding deal.
What is included in the Free plan?

Free includes up to 2 active projects, unlimited time entries, the full call-billing rules (minimum, padding, rounding), the dashboard and activity log, the Standard rate per project, and view-only reports.

What do I get with Pro?

Pro adds: unlimited projects and clients, multiple billing rates per project (e.g. remote / onsite / emergency), shareable read-only client reports, CSV / Markdown / JSON export, the mark-as-billed workflow plus the monthly billing pass, and the REST API with in-app key minting for agents and scripts.

How much does Pro cost?

Pro is $7/mo, billed through Paidwell's checkout. The exact current price and any options are always shown on the Pricing page and in Settings → Plan.

Is there a free trial?

Yes — Pro starts with a 31-day free trial. During the trial you have full Pro access. A card is required to start it, and it converts to a paid subscription when the trial ends unless you cancel first.

What is the founding / lifetime offer?

The founding offer is a one-time $150 payment for lifetime Pro access — pay once, never renew. It is a limited number of spots. If it is still available you will see it on the Pricing page and in Settings → Plan.

How do I upgrade to Pro?

Go to Settings → Plan and use the pricing table to start your trial or subscribe. After checkout you are returned to Settings so your session refreshes and Pro features unlock right away.

How do I cancel my subscription?

Open your account menu (top-right avatar) → Billing to manage or cancel your subscription. If you cancel mid-period you keep Pro access until the end of the period you have already paid for, then return to Free.

What happens to my data if I downgrade to Free?

Nothing is deleted. All your projects, entries, and history stay intact. Pro-only features (extra projects beyond the Free limit, multiple rates, sharing, export, API, mark-as-billed) simply become read-only or locked until you upgrade again.

I upgraded but the app still shows Free — why?

Plan status is read from your session, which refreshes within about a minute. Reloading Settings (where checkout returns you) usually updates it immediately. If it persists after a minute and a reload, contact support.

How is my payment handled — is it secure?

Payments are processed by our billing provider (Stripe, via Clerk Billing). Paidwell never sees or stores your card number. You can manage payment methods and invoices from your account menu → Billing.

CALL BILLING
Minimums, padding, and rounding for client calls.
What are call-billing rules?

Many consultants bill client calls by convention rather than raw duration — e.g. a 1-hour minimum, padding for prep/notes, and rounding to a set increment. Paidwell encodes this per project: a call minimum, padding minutes, and a rounding increment, applied automatically when you log a call.

How does the minimum / padding / rounding math work?

The order is: minimum, then add padding, then round to the nearest increment (floored at one full unit). Example: a 1-hour call with a 60-minute minimum, 60 minutes of padding, and rounding to 60 → bills 2 hours. Rounding never collapses a real call below one full unit.

Why did my 20-minute call bill as 1 hour?

That is rounding doing its job. On a project set to round to 60 minutes, a real call is never billed below one full unit, so a 20-minute call bills 1 hour rather than 20 minutes. Adjust the project's call rules if you want different behaviour.

How do I set call rules for a project?

Open the Projects section, edit the project, and set the call minimum, padding, and rounding increment. Leave a field blank to skip that step. The Log time dialog then shows a live preview of the billed duration and a "Use this" option when you log a call.

RATES
Standard and additional billing rates per project.
Can I bill different rates for the same project?

Yes, on Pro. Beyond the project's Standard rate you can add named rates such as Remote, Onsite, or Emergency, and choose which rate an entry is logged against. Multiple rates per project is a Pro feature.

What is the "Standard" rate versus additional rates?

Every project has one implicit Standard rate (its hourly rate). Additional rates are the extra named rates you can log specific work against. An entry with no rate selected uses the Standard rate.

What is a rate minimum (e.g. onsite always bills 4 hours)?

An additional rate can carry an optional minimum — a billing floor for that kind of work. For example, an Onsite rate with a 4-hour minimum means an entry logged at that rate is floored up to 4 hours. Set it when you create or edit the rate.

If I change a rate, does it affect past entries?

No. Each entry snapshots the dollar-per-hour at the time you logged it, so historical revenue stays stable even if you later change or archive the rate. Removed rates are archived (not deleted) so older entries keep a resolvable label.

REPORTS & SHARING
Generating reports and sharing them with clients.
How do I generate a report?

Open the Reports section, pick a project and date range, and Paidwell produces a clean summary you can review and copy as Markdown or CSV. Free users get view-only reports; Pro adds export and shareable links.

How do shareable report links work?

On Pro you can create a read-only link (a /r/… URL) for a project and date range to send to a client or bookkeeper. They see the entries without needing an account. Shareable links are a Pro feature.

Do shared reports expose my rates or revenue?

No. Public shared reports are intentionally time-only — they show the work and hours, never your rates or revenue. A report created with no project selected will include every client, and the share UI warns you about that.

How do I export my data?

On Pro, use Settings → Data for a full JSON backup, and the Reports section to copy CSV or Markdown. Export is a Pro feature.

MARKING WORK BILLED
Tracking what you have invoiced.
How do I mark entries as billed?

On Pro, each entry in the activity table has a billed toggle, and you can attach an optional invoice reference. This is how you track what you have already invoiced versus what is still outstanding.

Can I mark a whole month or range as billed at once?

Yes. Generate a report for a project and date range, then run the monthly billing pass to mark everything in that range as billed in one step (billable, not-yet-billed entries). This is a Pro feature.

Does Paidwell create invoices?

No. Paidwell deliberately has no invoice entity — "billed" is a status on each entry plus an optional invoice reference. It tracks what you have invoiced; you create the actual invoice in your own invoicing tool.

API & AGENTS
Programmatic access for scripts and AI agents.
Does Paidwell have an API?

Yes — a REST API under /api/v1 for logging and reading time programmatically (great for AI agents and scripts). It uses API-key auth and is a Pro feature. Human docs live at /docs and a machine-readable spec at /openapi.json.

How do I create an API key?

On Pro, go to Settings → API access → New key. The key is shown exactly once (only a hash is stored), so copy it immediately. New keys also offer a one-click "Copy agent setup prompt" so an agent can connect in a single paste.

How do I connect an AI agent (pi.dev, etc.)?

Mint a key in Settings → API access and use "Copy agent setup prompt" — it bundles the base URL, the key, and full instructions so the agent connects in one paste. Send the key as an Authorization: Bearer header or X-API-Key.

I lost my API key — can I see it again?

No. For security only a hash is stored, so the raw key is shown once at creation and can never be displayed again. Revoke the old key and mint a new one in Settings → API access.

ACCOUNT & DATA
Your account, privacy, and data export.
How is my data kept separate from other users?

Paidwell is multi-tenant: every record is tagged with your account, and every query is scoped to you. No other user can see your projects, entries, or reports. Public shared report links are the only data you choose to expose, and they are time-only.

How do I change my email or password?

Use your account menu (top-right avatar) → Manage account, which opens your account settings to update email, password, and security options.

How do I delete my account and data?

You can export a full JSON backup first from Settings → Data (Pro). To delete your account and its data, contact support and we will remove it. Some account records are managed by our auth provider and are removed as part of that process.

Where is my data stored?

Your time data is stored in Paidwell's PostgreSQL database. Authentication and billing are handled by our providers (Clerk and Stripe). Card details are never stored by Paidwell.

How do I get help?

How do I reach a human?
